Documents and photos on a profile
Keep insurance cards, consent forms, reports and photos on a client's, therapist's, peer's or case manager's profile, and open them without downloading.
Updated
Every profile has a Documents card: the files the office keeps for that person, like an insurance card, a signed consent form, an evaluation or a photo. Everyone on your team can see them. Nobody outside your agency can.
On a computer it's on the right, under Details. On a phone, scroll down past the log and tasks.
Add documents
- Open the profile.
- In Documents, click Add and choose one or more files. Or drag files from your computer onto the card.
- Each file shows in a list. If you like, type a short title, for example "Insurance card (front)". Leave it empty to use the file name.
- Click Upload 1 file (or Upload 3 files).
You can add pictures (JPEG, PNG, HEIC…), PDFs, Word and Excel files, and text files, up to 25 MB each and 20 at a time.
From a phone
- Tap Photo to take a picture with the camera, for example of an insurance card. Tap Upload 1 file.
- Tap Add to choose files or photos already on the phone.
See a document
Each file shows as a tile: the picture itself, the first page of a PDF, or an icon for Word and Excel files. Under it are the title, who added it and when.
Click a tile to open it large, right in Caseglen. Nothing is downloaded:
- Pictures show full screen. Click the picture to see it full size.
- PDFs show every page, with zoom buttons.
- Word documents show as a page, and Excel files as a sheet with tabs.
- Use ← and → (or the arrow keys) to go through the person's documents. Press Esc to close.
To save a copy, click Download.
The card shows the newest few. Click Show all to see every document.
Rename or delete
- Point to the tile (on a phone, it's always there) and click ⋯.
- Click Rename, type the new title and press Enter. Or click Delete and confirm.
You can also delete from the large view: click Delete at the top.
You can rename and delete documents you added. A Director can do it for anyone's.
It's in the log too
Adding a document writes "Added document: Insurance card (front)" in the person's log, with who did it and when. Deleting writes "Removed document: …". These lines can't be changed. Click Documents above the log to see only them.
When a director deletes a person, their documents are deleted too.
Good habits
- Give scans a clear title, like "Consent form 2026", so the right one is easy to find.
- Keep clinical notes and session records in your clinical system.
