Privacy Policy

The short version: your agency’s data belongs to your agency. We use it only to run Caseglen for you, and we never sell it.

Last updated: October 26, 2026

This policy explains how Yahiv Inc. (“we”, “us”), which operates Caseglen, handles information. It covers our website and the Caseglen application (together, the “Service”).

Two kinds of information

1. Agency data

This is what your agency puts into Caseglen: client records, therapist, peer and case manager profiles, tasks, notes and comments. Your agency is in charge of this data and decides what goes in. We handle it only on your agency’s behalf and on its instructions, to provide the Service.

2. Account and website information

We collect a small amount of information to run accounts and the website:

  • Names, work email addresses and roles of the staff who sign in.
  • Agency name, phone and billing contact.
  • What you send us through the contact or sign-up forms.
  • Basic technical data, such as sign-in times, browser type and IP address, used for security and to keep the Service working.

How we use information

  • To provide, maintain and improve the Service.
  • To send the emails and messages your team turns on, such as task assignments, done notices and the morning summary.
  • To answer your questions and provide support.
  • To send account emails, such as invitations, password resets and messages about your account or billing.
  • To protect the Service and our users from abuse.

What we never do

  • We never sell or rent agency data or personal information.
  • We never use agency data for advertising.
  • We never look at agency data except when needed to provide support you ask for, keep the Service secure, or follow the law.

Who we share with

We use a small number of trusted service providers to run Caseglen, such as cloud hosting, database and email delivery providers. They process data only to provide their services to us. We may also share information if the law requires it, or as part of a merger or sale of our business, in which case this policy continues to protect your data.

Cookies

We use cookies needed to keep you signed in and the Service secure. We do not use advertising cookies.

How we protect data

Connections are encrypted. Each agency’s data is walled off from other agencies using database row-level security. Access inside an agency is based on roles. Read more on our Security page.

Keeping and deleting data

We keep agency data while your agency has an account. If you cancel, you can ask for an export of your data. After cancellation, we delete agency data within a reasonable time, unless the law requires us to keep it. You can ask us to delete your data at any time by emailing support@caseglen.com.

Your choices

  • Each staff member can choose which emails they receive.
  • Directors can turn on minimal-email mode to keep names, phone numbers and details out of emails.
  • You can ask to see, correct or delete your personal information.

If you are a client, family member or clinician whose information an agency keeps in Caseglen, please contact that agency first. We will help them answer your request.

Children

Caseglen is used by agency staff. It is not meant for children to use, and we do not knowingly collect information directly from children.

Changes

If we change this policy in an important way, we will tell account holders by email or in the app before the change takes effect.
