Mark a potential client as onboarded
Turn a potential client into an active client, and undo it if it was a mistake.
Updated
On this page
When a family is matched and services are set up, mark them as onboarded. Their status changes from Potential (hollow ring) to Active (filled dot).
Mark as onboarded
- Open the client's profile. Find them in Clients → Potential, in New potential clients on the Today page, or with the search bar.
- Click the green Mark as onboarded button at the top right.
You can also click the status button next to the name (○ Potential ▾) and choose Mark as onboarded.

The status button now says Active.
What changes
- The client moves from the Potential tab to the Active tab.
- "Onboarded — now an active client" is added to their Log, with your name and the time.
- They now count in the Active clients number of each therapist, peer and case manager on their care team.
- They leave the New potential clients card on the Today page.
Before you onboard: a short checklist
- The care team is linked. The Stage column on the Potential tab says Ready once a therapist is on the team. See Build a client's care team.
- The parent or guardian phone number is filled in.
- Any open intake tasks are done, or reassigned.
Did it by mistake?
A Director can undo it:
- Open the client's profile.
- Click the status button next to the name (● Active ▾).
- Choose Move back to potential.
- Confirm.
The client goes back to the Potential tab, and "Moved back to potential client" is added to their Log. The care team, notes and tasks stay as they are.
Not a director? Ask your director to do it. You won't see Move back to potential in the menu.
If services never started and the family won't continue, choose Make inactive instead. The history is kept.
The button isn't there
Mark as onboarded only shows for clients whose status is Potential. If the client is already Active, there's nothing to do. If they're Inactive, choose Reactivate in the status menu.
