Privacy and security basics

How Caseglen keeps your agency's data separate, and simple habits that keep it safe.

Updated

On this page

Caseglen holds information about the families and professionals you work with. Here's how it's protected, and what your office can do to help.

Your agency's data is walled off

Each agency has its own separate space. Every client, person, task, note and setting belongs to one agency.

  • Nobody from another agency can see or search your data.
  • This is enforced in the database itself, not only on the screen.
  • Emails and Google Chat messages only ever include your own agency's information.

Only your team can sign in

  • Every person has their own sign-in. Don't share accounts.
  • People join only by invitation from a director.
  • When someone leaves, a director can remove their access right away.

Roles limit who can change what

Staff do the daily work. Only directors can manage the team, categories and organization settings, or delete people. See Team members and roles.

Choose how much goes into emails

Emails leave Caseglen and sit in inboxes. A director can switch to Minimal emails, which show client initials instead of names and leave out phone numbers, notes and comments. See Full vs. Minimal email detail.

Good habits for your office

  1. Sign out on shared computers. Click Sign out at the bottom of the sidebar when you're done.
  2. Lock your screen when you step away.
  3. Use a strong password that you don't use anywhere else.
  4. Keep task titles plain. "Call family about schedule" is better than putting a diagnosis in a title.
  5. Keep notes factual and leave clinical records in your clinical system.
  6. Treat Google Chat webhooks like passwords. Anyone with the address can post into that space.
  7. Remove access promptly when someone leaves.
